Scope
This statement applies to appollolab.com: the pages on this site, the project enquiry form, and the technical delivery of the site. It does not describe a separate product or website that Appollo Lab operates under its own address.
Personal data we process
The project enquiry form can collect:
- Name
- Work email
- Company or organisation
- Company website, if you choose to provide one
- What you are looking to build
- Where you are now, if you choose a stage
- A description of the problem
- Anything else you choose to add as context
The description and context fields may contain further information you decide to include. Appollo Lab does not ask you to provide special-category data, such as health information.
The form also contains a hidden field used to ignore automated submissions. That field is not a request for information about you.
Project and contact enquiries
The project form sends the details you submit through Cloudflare to Zoho Mail. Zoho Mail sends the message from info@appollolab.com to projects@appollolab.com and keeps it in the Appollo Lab mailbox. Direct email to info@appollolab.com, projects@appollolab.com, or privacy@appollolab.com is received in the same mailbox.
A successful response means Zoho Mail’s send API accepted the request. It does not by itself confirm that the message has already appeared in the mailbox or been read. If delivery is not configured, or Zoho Mail rejects the request, the form says the enquiry was not sent and leaves what you typed on the page. The website does not keep its own copy of a failed submission, and it does not store the form in a cookie or in browser storage.
A hidden field is used to reject automated submissions. A rejected submission is not treated as delivered.
Purposes and legal bases
The form is meant for a business enquiry about software or product work. The purposes below apply when an enquiry is actually received, either through the form or by email to a published address.
When an enquiry is received, Appollo Lab uses it to:
- receive and read the enquiry
- understand the business or project problem
- decide whether Appollo Lab may be able to assist
- reply to the sender
- arrange a conversation
- prepare a possible proposal
- take steps toward a possible client engagement
Reviewing an enquiry, replying, and preparing a proposal at your request are steps before a possible contract. Keeping a limited record of a genuine business enquiry, and rejecting automated misuse of the form, relies on Appollo Lab’s legitimate interest in answering real enquiries and keeping the channel usable.
This site is not used for newsletters, advertising, behavioural profiling, or automated lead scoring.
Website and server logs
The pages are static files. Cloudflare hosts them and runs the contact endpoint. The endpoint receives the enquiry in order to pass it to Zoho Mail. It is not a separate database of enquiries.
Cloudflare may keep technical logs of requests. Those logs can include an IP address, the date and time, the requested address, the browser type, and security metadata. They are used to deliver the site and to protect it. The length of time Cloudflare keeps those logs depends on the account settings and should be confirmed there before public launch. This statement does not invent that period.
Service providers and recipients
Cloudflare hosts the website and runs the contact endpoint. Zoho Mail sends the enquiry to projects@appollolab.com and keeps business correspondence, including a delivered enquiry and mail sent directly to the published addresses. No analytics or advertising service receives personal data from this website. The typeface is included with the site and is not loaded from an external font service.
The contact function calls Zoho Mail’s Europe API host. How long Zoho keeps delivery records follows that account’s settings, which should be checked before public launch.
International transfers
Cloudflare and Zoho can process data outside the Netherlands. The contact function uses Zoho Mail’s Europe API endpoint. This statement does not claim that every processing step stays inside the European Economic Area, and it does not name a transfer mechanism that has not been confirmed from the provider accounts. The processing locations used by Cloudflare and by the Appollo Lab Zoho account should be confirmed in those accounts before public launch.
Retention
An enquiry that is delivered is kept in the Zoho mailbox so Appollo Lab can reply and decide whether the conversation becomes client work. The specific period for deleting enquiries that do not become client work has not yet been adopted as a published business rule. That period will be added here before the site is launched publicly. Work that becomes a client engagement is kept with the project records for as long as the work and the applicable record-keeping duties require.
Technical logs kept by Cloudflare follow the host account settings. That period should be confirmed before public launch and is not stated here as a fixed number.
Security
The form is sent to the contact endpoint over HTTPS. That endpoint then asks Zoho Mail to send the email into the Appollo Lab mailbox. Access to that mailbox should stay limited to the people who need it to respond.
Your rights
Where the AVG applies to data Appollo Lab holds, you can ask to:
- access the personal data
- correct it
- erase it, where a ground for erasure applies
- restrict processing in the situations the AVG describes
- object to processing that is based on legitimate interests
- receive data you provided, where the right to data portability applies
Portability applies when processing is based on a contract or on consent and is carried out by automated means. It does not apply to every record. An objection to legitimate interests will be honoured unless there are compelling grounds that override it, or the data is needed for a legal claim.
Requests can be sent to privacy@appollolab.com.
Complaints
You can lodge a complaint with the Autoriteit Persoonsgegevens (opens in a new tab). You may contact Appollo Lab first, and you do not have to.
Automated decision-making
This website does not use automated decision-making or profiling to assess contact enquiries or visitors. Work that uses AI inside a client’s own product is a separate engagement. It is not a process applied to people who visit appollolab.com.
